Scope

This template explains browser cookies and similar storage used by the public website and client portal. The production policy must be generated from an inventory of the deployed application, not from assumptions.

Categories

Only categories actually in use should appear in the final policy. Each deployed cookie or similar technology must be documented with its provider, purpose, duration, and whether it is required.

  • Strictly necessary: authentication, session continuity, security, load balancing, and saved privacy choices
  • Functional: optional preferences that are not required for the requested service
  • Analytics: measurement tools enabled only when actually configured and lawfully deployed
  • Advertising or cross-context behavioral tracking: do not list or enable without explicit business approval, technical controls, and counsel review

Account and security technologies

Authentication and security technologies may be needed to maintain a session, prevent request forgery, apply rate limits, and detect abuse. The final table must identify the actual mechanism and retention.

Analytics

If analytics is not deployed, the production policy should say so accurately and omit fictional vendors. If it is deployed, describe the provider, data collected, retention, configuration, and available choices.

Choices

Users can often control optional technologies through a site preference interface and browser settings. Blocking necessary storage may prevent sign-in or other requested functions.

Counsel must determine whether opt-in consent, opt-out, Global Privacy Control recognition, or a “Do Not Sell or Share” mechanism is required for the actual practices and visitors.

Policy updates and contact

The cookie inventory should be reviewed after feature or vendor changes. The effective date and monitored privacy contact must be completed before publication.
